Information we collect
For an inquiry or booking, we may collect a parent, guardian or adult applicant’s name and contact details, the student’s year group or application stage, the requested support area, broad goals, relevant timelines, availability, booking details and correspondence. We may retain necessary lesson, payment and safeguarding administration if you become a client.
What not to send initially
Please do not initially send a child’s full name, exact date of birth, home or school address, photographs, identity documents, medical reports, passwords or payment-card details. Medicine applicants should not send unnecessary sensitive information. If more information becomes genuinely necessary, Shria will explain why.
Why we use information
Information is used to answer inquiries, assess suitability and availability, arrange consultations and lessons, deliver the requested service, keep essential business records, protect students and comply with legal obligations. Depending on the activity, processing is necessary to take steps at your request before a contract, perform a contract, comply with law or pursue the legitimate interests of operating a safe and responsive tuition service.
Cal.com booking
The Fees page connects to Cal.com for appointment scheduling. Loading or opening the scheduler may send technical information to Cal.com. If you book, Cal.com processes the details you enter and may place the appointment in a connected calendar or conferencing service. Cal.com processes information under its own privacy notice ↗. Please use a parent or guardian’s details when booking for a child.
WhatsApp, email and other services
The website inquiry form prepares a WhatsApp message on your device; its answers are not sent by this website until you choose to send the message. WhatsApp, Google, email, Cal.com, Superprof and conferencing providers process information under their own terms. These providers may process information outside the UK using their applicable transfer safeguards.
AI-assisted inquiry handling
An AI-assisted OpenClaw agent may help acknowledge and organise inquiries. It operates under human-approval, privacy and safeguarding rules. Sensitive, unusual, safeguarding and contractual decisions are escalated to Shria. Automated assistance does not make final decisions about suitability, prices or accepting a student.
Sharing and retention
Information is shared only where needed with service providers supporting communications, scheduling, conferencing, records or legal obligations. It is not sold. Inactive inquiry records are provisionally reviewed for deletion after 90 days. Client, payment, contractual or safeguarding records may be retained longer where reasonably required by law, accounting, safeguarding or dispute-management needs.
Your rights
Depending on the circumstances, you may ask for access, correction, deletion, restriction, objection or a portable copy of your information, and may withdraw consent where consent is used. Email the address above to make a request. You may also complain to the UK Information Commissioner’s Office at ico.org.uk ↗.
Children
Inquiries, bookings and administration for anyone under 18 should be handled by a parent or guardian. Adult Medicine applicants may contact the service directly. The service does not intentionally use children’s information for direct marketing or arrange private tuition solely through a child-originated conversation.
Changes
This notice will be reviewed as the service and its systems develop. Material updates will be published on this page with a revised date.
